KEY RESPONSIBILITIES• Manage multi-phone lines for two separate offices• Retrieve voicemails• Provide base level information to clients and employees• Facilitate staff and client requests• Process and update applications and client information• Process credit card payments• Manage office equipment (copier/fax/scanner, printers)• Order office supplies as needed• Electronic filing (paperless office)• Organize and maintain common areas • Ongoing research and special projects as requested• Ability to troubleshoot basic computer hardware and software issuesTHE FOLLOWING SKILLS ARE ESSENTIAL TO THIS POSITION• Ability to multi-task with the flexibility to change the priorities at any given time; the ability to work with interruptions.• Strong customer service skills required. Professional phone demeanor is a must. You will need to develop solid working relationships with clients and vendors that positively influence our daily operations.• Excellent oral and written communication skills required.• Proficiency in MS Word, Excel, Outlook, and Adobe Acrobat (PDF's). Must be quick on the computer and be able to respond to a high volume of emails.• Ability to multi-task with strong attention to detail. Must be organized, motivated and possess the ability to follow through with a project from start to finish.• Must be proficient in the use of technology, including but not limited to computers, multi-line telephones, printers, copiers, faxes, cell phones, etc.• A highly adaptable and flexible mentality is needed for this position. You must be confident and possess a 'can-do' attitude.• The use of discretion when handling confidential information.QUALIFICATIONS• High school diploma or equivalent. Some college or business related courses preferred.• Minimum one year administrative experience, but willing to train the right candidate.• Insurance knowledge and/or Marketing/Networking skills a plus.• Bi-lingual is a plus but not a requirement.
