POSITION SUMMARYReporting to the Director of Administration and under broad corporate direction is responsible for the management of human resources activities including recruiting, compensation, payroll, benefits, workers compensation, safety, legal compliance and employee relations.ESSENTIAL RESPONSIBILITIESRecruitment/On-boarding1.Manages recruitment efforts for all locations: create/update job descriptions, create and post ads, screen resumes, conduct initial interviews, and utilize executive recruiters as needed.2.Assist managers with creation of Requisition form and setting salary ranges.3.Coordinate final candidate in-person interviews ensuring schedules are created and distributed, communication to candidates are clear and travel arrangements are secure.4.Utilizing company designated providers administer assessment tools, background and drug checks on final candidates.5.Maintain recruitment log to track open/closed requisitions.6.Key new hires into ADP TotalSource system.7.Create and assemble New Hire Kits.8.Facilitate New Hire Orientation including: design, scheduling, conducting HR segment and auditing for ROI.Compensation1.Manage and administer annual/semi performance review process.2.Work closely with the Management team on the annual salary review process.3.Ensure company salary philosophy is maintained throughout organization.4.Provide management with current market salary data, and make recommendations for employment offers, merit and market salary adjustments, utilizing the Kinexa system. Establish and maintain database for employee job information to create salary structures utilizing Kinexa/IBM CompAnalyst technology and portal.5.Assist as needed with company bonus programs, including communication and preparation.Benefits1.Participate in selection process of benefit options annually with President and ADP TotalSource.2.Review and make recommendations on employee contributions for group health benefits.3.Manage Open Enrollment process, working closely with ADP TotalSource.4.Assist employees with any benefit-related issues.5.Manage and maintain the 401k program, including 5500 filings, annual ADP testing, communication and administration.Workers Compensation/Safety1.Report all work-related claims to worker’s comp carrier via ADP TotalSource.2.Manage workers comp claims as appropriate for level of care, return-to-work status, etc.3.Chairperson of the Safety Committee: Conducts quarterly meetings with members of the Safety Committee, as per OHSA regulations.4.Work with ADP TotalSource on company’s safety program reviewing, revising and publishing of the Emergency Evacuation Plan and the Illness and Injury Prevention Plan, to be updated annually.5.Facilitate training and conformity to compliance.Legal Compliance/Policy Management1.Work with ADP TotalSource to ensure all mandated training occur has required. i.e. annual harassment training2.Monitor any legal issues that arise.3.Ensure that all applicable laws are followed. i.e. termination notices, new hire forms, etc.4.Maintain current and complete understanding of federal and state laws, including case law and regulations, such as, Title VII, FLSA, ADA, FMLA, PDL, ADEA, and EEO.5.Prepare and/or responds to legally required state and government reports (DE34, EEO-1 Reports – DE1101C)6.Review and revise Employee Handbook, company policies and procedures, ensuring compliance and best risk management practices. Utilize ADP TotalSource as resource.Employee Relations1.Resolves employee complaints, conducts workplace investigations when necessary and assists managers with correction action if needed. Bring in appropriate resources when appropriate.2.Collaborate with management to identify, implement, and maintain programs and practices that ensure a healthy, productive and growing culture.Immigration/Ex-Pat1.Work with external immigration legal firm on sponsorship needs, providing information as needed.2.Track VISAs and Totalitarian agreements.3.Manage benefits, tax issues and related matters as it pertains to ex-pats.4.Collaborate with San Jose Office Manager to ensure that all activities related to the rotational employees from Japan are completed, such as, housing, schooling for children, English training courses. Payroll1. Maintain and administer time and attendant records.2. Process payroll in every two weeks with ADP payroll system. Other HR Duties1.Utilize ADP TotalSource portal to ensure accurate information regarding employee’s compensation, bonuses, benefits, garnishments and termination are processed.2.Responsible for overseeing the maintenance of all personnel files, I-9's binder, benefits, workers' compensation, EDD, and terminations in accordance with recordkeeping laws.3.Conducts Exit Interviews to ensure positive attitude towards the organization and its position in the marketplace.4.Process terminations as required by ADP TotalSource and 401k provider.5.Notify ADP TotalSource of unemployment claims and garnishments received in a timely manner.
